This Privacy Policy explains how Voxpria (“Voxpria,” “we,” “us,” or “our“) collects, uses, discloses, and protects personal information when you visit voxpria.com, use our web application at app.voxpria.com, and use our AI voice automation platform and related services (collectively, the “Services“).
Voxpria is a company established in the Province of Québec, Canada. We are committed to protecting personal information in accordance with the Act respecting the protection of personal information in the private sector (Québec), as amended by Law 25, the federal Personal Information Protection and Electronic Documents Act (“PIPEDA”), and other applicable privacy laws.
Please read this Policy carefully. By using the Services, you acknowledge that you have read and understood this Policy. If you do not agree with it, please do not use the Services.
1. Two Roles: Controller and Processor
Our relationship to your personal information depends on how you interact with us:
- When we act for our own purposes (Controller / Person responsible). When you visit our website, create an account, or use the Services as a customer, Voxpria is responsible for the personal information we collect about you (for example, your account and billing information).
- When we process data on your behalf (Processor / Service provider). When you, as a customer, use the Services to place or receive calls, upload contacts, run campaigns, capture form submissions, or otherwise process personal information about your own customers, leads, and contacts (“End User Data“), you are the party responsible for that information and Voxpria processes it on your behalf and under your instructions. In that case, you are responsible for having a lawful basis and any required consent to collect and process that information, and for providing your own privacy notice to your contacts. See Section 12.
2. Personal Information We Collect
We collect the following categories of personal information:
2.1 Information you provide to us
- Account and profile information: name, email address, telephone number, company/organization name, username, password, language and country.
- Billing and payment information: billing name and address, plan and subscription details, transaction history, and partial payment card data. Full card numbers are collected and processed directly by our payment processors and are not stored on our servers.
- Identity verification (KYC) information: where identity or business verification is required to activate calling or purchase phone numbers, we (or our verification provider) may collect government-issued identification, proof of address, business registration details, and related documents.
- Content and communications: agent scripts and prompts, knowledge-base content, contact lists you upload, form fields you configure, messages, support requests, and any other information you submit through the Services.
2.2 Voice, call, and messaging data
Because Voxpria is a voice automation platform, we process communications data on your behalf, which may include:
- Telephone numbers of callers and called parties, call metadata (date, time, duration, direction, status, caller ID);
- Call recordings (where recording is enabled by you or required), and transcripts and AI-generated summaries derived from calls;
- Text and chat messages (including WhatsApp and web chat interactions), form submissions, and appointment details;
- Voice audio streamed in real time to speech-recognition and conversational-AI providers to enable AI voice agents to operate.
2.3 Information collected automatically
- Usage and device data: IP address, browser type, device identifiers, operating system, pages viewed, features used, referring URLs, and timestamps;
- Cookies and similar technologies: see Section 11.
2.4 Information from third parties
- Authentication providers (e.g., if you sign in with a third-party account);
- Payment processors and identity-verification providers (verification results and status);
- Telephony carriers and integration partners you connect to your account.
3. How and Why We Use Personal Information
We use personal information for the following purposes, which constitute the serious and legitimate reasons for which we collect it:
- Provide and operate the Services — create and manage your account; place, receive, route, and record calls; run AI voice agents; deliver messaging, forms, CRM, appointment, and analytics features.
- Billing and payments — process subscriptions, credits, and transactions, and prevent payment fraud.
- Identity and compliance verification — verify your identity or business (KYC/KYB), meet telecommunications and regulatory requirements, and prevent abuse of the telephony network.
- Support and communication — respond to your requests, send service-related notices, and provide technical support.
- Security and fraud prevention — protect the Services, detect and prevent fraud, abuse, spam, and unauthorized access.
- Improve the Services — understand how the Services are used, troubleshoot, and develop new features (using aggregated or de-identified data wherever practicable).
- Marketing — with your consent where required, send you information about features, offers, and updates. You may withdraw consent or unsubscribe at any time.
- Legal obligations — comply with applicable laws, respond to lawful requests, and enforce our agreements.
4. Consent
We collect, use, and disclose personal information with your consent, except where the law permits or requires otherwise. Depending on the sensitivity of the information and the context, consent may be express or implied. For sensitive personal information, we obtain express consent.
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Officer (Section 15). Withdrawing consent may prevent us from providing some or all of the Services to you.
5. AI Voice Agents, Call Recording, and Automated Processing
Our platform uses artificial intelligence to conduct voice conversations. You should be aware that:
- AI-generated voices and content. Calls may be conducted by an automated AI agent using a synthetic voice. Conversation audio is processed in real time by third-party speech-recognition and conversational-AI providers to understand speech and generate responses.
- Recording and transcription. Where recording is enabled, calls may be recorded, transcribed, and summarized. Laws on notifying and obtaining consent from call participants vary by jurisdiction (some require all-party consent). If you use the Services to record calls, you are responsible for providing any legally required notice and obtaining any required consent from the individuals on the call. See our Terms of Service.
- Automated decision-making. The Services execute automated call flows and routing that you configure. Voxpria does not itself use your personal information to make decisions that produce legal or similarly significant effects about you based solely on automated processing. If we ever introduce such processing, we will inform you and provide the rights required by applicable law, including the right to be informed of the reasons and to submit observations.
6. Disclosure of Personal Information
We do not sell your personal information. We disclose personal information only as described below:
- Service providers (processors). We share information with trusted third parties who perform services on our behalf and under contractual confidentiality and data-protection obligations. See Section 7.
- Payment processors to process transactions.
- In connection with a business transaction such as a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.
- Legal and safety reasons — where required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Voxpria, our users, or others.
- With your consent or at your direction.
7. Service Providers
We rely on reputable third-party providers to deliver the Services. Depending on the features you use, these may include:
- Telephony and communications: Twilio and SIP/carrier partners (call origination, termination, and phone numbers);
- Conversational AI, speech recognition, and voice synthesis: OpenAI and ElevenLabs;
- Payment processing: Stripe, PayPal, Paystack, Razorpay, and MercadoPago;
- Identity verification (KYC/KYB): our verification provider;
- Productivity integrations you choose to connect: Google (Calendar and Sheets) and similar services;
- Cloud hosting, storage, email delivery, and analytics providers.
These providers are authorized to use personal information only as necessary to provide services to us and are bound by obligations consistent with this Policy and applicable law. A current, more detailed list of our providers is available on request from our Privacy Officer.
8. Transfers Outside Québec and Canada
Some of our service providers store or process personal information outside the Province of Québec and outside Canada, including in the United States and other countries. As a result, personal information may be subject to the laws of those jurisdictions, including lawful access by their courts and authorities.
Before transferring personal information outside Québec, we conduct assessments as required by applicable law and put in place contractual and other safeguards intended to provide an adequate level of protection. You may contact our Privacy Officer for more information about these transfers and safeguards.
9. Retention
We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, to provide the Services, and to comply with our legal, accounting, and reporting obligations. Retention periods vary by data type:
- Account and billing records are retained for the life of your account and for a reasonable period afterward as required by law.
- Call recordings, transcripts, and related communications data are retained according to the retention settings you configure and our default retention periods; you can delete recordings and configure automatic deletion where the feature is available.
When personal information is no longer required, we destroy, delete, or anonymize it in accordance with our retention practices and applicable law.
10. Security Safeguards
We implement reasonable technical, administrative, and physical safeguards appropriate to the sensitivity of the information, including encryption in transit, access controls, authentication, and monitoring. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
If we become aware of a confidentiality incident (data breach) that presents a risk of serious injury, we will notify the Commission d’accès à l’information du Québec and affected individuals as required by law, and take reasonable measures to reduce the risk of harm.
11. Cookies and Similar Technologies
We use cookies and similar technologies to operate the website and application, remember your preferences and language, keep you signed in, understand usage, and improve the Services. Some cookies are strictly necessary; others are used for analytics or functionality. You can control cookies through your browser settings; disabling certain cookies may affect how the Services function. Where required, we request your consent for non-essential cookies.
12. Your Responsibilities Regarding End User Data
When you use the Services to process information about your own contacts, leads, and customers, you act as the party responsible for that information. You represent and agree that you will:
- Obtain and maintain all consents and provide all notices required by applicable law before contacting individuals, uploading their information, or recording calls;
- Comply with all applicable telemarketing, anti-spam (including Canada’s Anti-Spam Legislation), do-not-call, and call-recording laws;
- Honour opt-out and deletion requests from your contacts; and
- Only use the Services for lawful purposes.
You are responsible for responding to privacy requests made by your own contacts. If we receive such a request directly, we will refer the individual to you where appropriate.
13. Your Privacy Rights
Subject to applicable law and certain exceptions, you have the right to:
- Access the personal information we hold about you and be informed of how it is used and to whom it has been disclosed;
- Rectify personal information that is inaccurate, incomplete, or ambiguous;
- Withdraw consent to our use of your personal information;
- Portability — receive the computerized personal information you have provided to us in a structured, commonly used technological format, where required by law;
- De-indexing / cessation of dissemination — request that we cease disseminating your personal information or de-index certain information in the circumstances provided by law;
- Deletion — request deletion of your personal information, subject to our legal and contractual retention obligations; and
- Lodge a complaint with the relevant regulator (Section 16).
To exercise your rights, contact our Privacy Officer (Section 15). We will respond within the timeframes required by law. We may need to verify your identity before acting on a request.
14. Children’s Privacy
The Services are intended for businesses and individuals who are at least the age of majority in their province or territory. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us so we can take appropriate action.

16. Complaints to a Regulator
If you are not satisfied with our response to a privacy concern, you may file a complaint with the applicable authority:

- Office of the Privacy Commissioner of Canada (OPC) — www.priv.gc.ca.
17. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will update the “Last updated” date and, where appropriate, provide additional notice. Your continued use of the Services after the changes take effect constitutes acceptance of the revised Policy.
